Evaluation of the Activities of Ehime University Student Organizations

　After a trial period in 2007, Ehime University has begun to evaluate student groups from 2008 in accordance with the Ehime University Student Group Evaluation Implementation Regulations.
　The University will evaluate the activities of student groups based on the Student Group Self-Evaluation Form and the Student Group Report ( click here for the form), and will provide funds according to the evaluation results to those groups recognized as excellent.
　All student organizations will be individually notified of the evaluation results, and the names of organizations that receive a grade of “C” or higher will be made public (on-campus only).

Regulation No. 45

(Purpose and Objectives)

Article 1.

　These rules apply to student organizations (hereinafter referred to as “Organizations”) of Ehime University (hereinafter referred to as “Ehime University”). (hereinafter referred to as “the University”), and the student organizations (hereinafter referred to as “the Organizations”) of Ehime University (hereinafter referred to as “the University”). This regulation prescribes necessary matters concerning the implementation of student organization activity evaluation based on self-evaluation by student organizations (hereinafter referred to as “organizations”) of Ehime University (hereinafter referred to as “the University”).
　The purpose of the evaluation is to contribute to the promotion of student extracurricular activities and the revitalization of student organizations.

(subject to evaluation)

Article 2.

　The evaluation shall be applied to student organizations approved by the President in accordance with the provisions of Article 10, Clause 1 of the Student Regulations of Ehime University.

(Evaluation period)

Article 3.

　The evaluation period shall be one year from April 1 to March 31 of the following year.

(Self-evaluation)

Article 4.

　The student organization shall complete the prescribed “Student Organization Self-Evaluation Form” (hereinafter referred to as the “Evaluation Form”). The student organization shall conduct a self-evaluation promptly after the end of the evaluation period according to the “Student Organization Self-Evaluation Form” (hereinafter referred to as the “Evaluation Form”) and submit it to the Student Life Support Division of the Education and Student Support Department by the end of May each year.

(Evaluation)

Article 5.

　The University shall evaluate the student organization based on the submitted Student Organization Record and Evaluation Form.

(Publication of evaluation results)

Article 6.

　The results of the evaluation shall be notified to the student organization concerned and made public within the university.

(Utilization of evaluation results)

Article 7.

　The evaluation results shall be used to provide support to outstanding student organizations.

(Administrative)

Article 8.

　Administrative work related to evaluation shall be handled by the Student Life Support Division of the Education and Student Support Department.

(Miscellaneous Provisions)

Article 9.

　In addition to the provisions of these regulations, necessary matters concerning the evaluation of student organizations shall be determined separately by the Director of the Institute of Education and Student Support.

Benefit for activity expenses from Ehime University Alumni Association

Activity expense benefit

Student organizations that receive activity grants and the amount of the grants

Organizations with a rating of “D” or “E” will not receive activity fees.
*The number of groups awarded may change if the number of groups with a grade of “C” or higher is less than 30 for athletics and 20 for culture, or if there is a tie.

Procedure for receipt of activity fees

Please follow the prescribed procedures at the Student Life Support Division.

Use and return of activity fees

　The activity fee can be used for travel expenses for expeditions, goods (except for food and beverages), and other expenses necessary for the student group’s activities. Groups wishing to use the activity fee should submit an Application for Use of Student Organization Activity Fee Subsidy ( click here for the form) to the Student Life Support Division. Please note that if the activity fee is used for something unrelated to the student group’s activities, you will be asked to return all or part of the activity fee.
　Also, please note that if the student organization is found to have committed a falsehood or other irregularity in its self-evaluation, the full amount of the activity fee will be returned and the student organization will be excluded from the following year’s grant eligibility.

Criteria for grant

Ehime University’s university-wide club organizations that fall under any of the following categories are eligible.

1. To participate in the national competition after achieving particularly excellent results in the regional qualifying rounds, etc.
2. Significant difficulties with expenses and other costs associated with participating in the national competition.
3. Have not received any special assistance grants in the past three years.

amount of support

The maximum grant amount per circle for each fiscal year is 200,000 yen.

Procedures, etc.

1. Please submit the “Ehime University Alumni Association Student Circle Group Special Support Grant Application Form” ( click here for the form) to the Student Life Support Division.
2. After being reviewed by the Alumni Association, the Student Life Support Division will inform you of the results.
3. The president of the Alumni Association grants special support funds.
